vendor reviews: reception locations

Quaint, old world country hall gives new meaning to the all-inclusive package concept
Interviewing Resident Wedding Planner, Barb Newman of The Black Forest Inn

When you first visit The Black Forest Inn, you would assume that their popularity comes from their country setting, old world charm, and your less-than-ten-minute drive that got you there. In truth, what brides are talking about most is Wedding Planner Barb Newman, and The Black Forest Inn's all-inclusive wedding package that includes literally everything, from dining to DJ.

The true 'all-inclusive' package

The term all-inclusive usually refers to a package that includes alcohol or taxes and gratuities within the cost. But The Black Forest Inn sets itself apart from from any other location in the area by taking the all-inclusive package concept to an entirely different level. When you host your wedding here, your entire wedding reception is included in the quoted price. You will have your own wedding planner (Barb) who will soon be your lifeline, full DJ service, the décor that will surround you, the wedding cake you'll serve to your guests, an amazing photography package, the four course dinner you'll love, the unlimited hors d’oeuvres hour, and of course the location for your wedding and possibly your ceremony too...

When time is your most precious possession, having a Wedding Specialist easing you through the entire planning process seems like a bridal dream come true. But with The Black Forest Inn, nothing is impossible. From planning your wedding day agenda to the details of your decor, Barb and The Black Forest Inn staff are there to make your dreams a reality.

The beauty of choosing The Black Forest Inn is that the service providers have already been selected with careful consideration. You still have the power to choose many of those details that are so important to you. For example, choose from a selection of head table backdrops and centerpieces, choose the style, flavour and filling of your wedding cake, choose your photo locations, and take control of your musical ambiance by selecting your own hors d’oeuvres, dinner and specialty dance music.

By choosing the all-inclusive wedding package you will be sure to free up some much deserved quality time to spend with your friends and family – and really enjoy the days and months leading up to your wedding day...

Personally speaking...

When you look into The Black Forest Inn, you will meet with Wedding Specialist Barb Newman. Barb comes to the Wedding Planning role with over twenty years of experience in the hospitality industry. She has worked as assistant to Black Forest's Manager, Kelly Brubacher in the past and is eager to work with brides and grooms more directly to help them get the most of Black Forest's all-inclusive packaging.

Black Forest brides

Brides who choose The Black Forest Inn’s all-inclusive wedding package are looking for the outcome of a beautiful wedding day without the magnitude of stress and headaches that go hand in hand with planning such a momentous event. If you are looking for beautiful décor, quality vendors, a quaint country setting, and most of all, to be taken care of and have choices without the stress and details that usually come along with them... then this is the place for you. Kristen and Leo were married in June of 2003. "... Our wedding [was] absolutely perfect!! Everything was flawless, the wait-staff were exceptional and the food was to die for!"

Though the majority of their weddings are local ones, Barb admits that they're seeing more and more out-of-towners coming to the Black Forest Inn as their destination wedding locale. "This year we've had couples from as far away as Vancouver and Saskatchewan and as close as Toronto." Barb says that most of these couples are planning weddings here because it's where they grew up or because the all-inclusive aspect takes care of all the details they can't plan themselves from so far away. The Black Forest Inn is also seeing many more Friday weddings, particularly with couples who had their hearts set on this location but couldn't find availability for a Saturday. Friday weddings also come with an amazing discounted rate of $5 per person!

Walking you through your wedding day

Because an all-inclusive wedding package offers a unique style to the planning process, The Ring thought we’d show you just how it’s done at The Black Forest Inn...

Your first step would be to schedule an appointment to meet with Barb to view the facility and check out all the details in person with your fiancé. If, once you’ve seen the facility, you would like to seriously consider it for your wedding, you would be welcome to place a tentative hold on a particular date without a deposit for up to two weeks. Once the two weeks is up, you would schedule another meeting with Barb to pay your non-refundable deposit and to sign your wedding contract. Typically reception facilities book 18 to 12 months in advance of the wedding date... but to be honest, it’s never too late to book! In fact, since The Black Forest Inn no longer does dinner shows in July and August, more dates are available.

Once you book The Black Forest Inn for your reception site, all of your 'inclusive' service providers are booked at once. It really is that simple... you can now spend time enjoying your engagement and the excitement of sharing your news with friends and family.

Planning meetings

Although the timing of your planning meetings are truly up to you and what works best for you and your fiancé, Barb recommends meeting approximately four to five times throughout the planning process. Below is a sample of what you'll typically cover in each of the meetings...

Meeting #1: The first meeting is to sign the contract and pay your non-refundable deposit. This meeting typically takes place 12 to 18 months prior to your wedding date.

Meeting #2: After you’ve signed the contract and paid your non-refundable deposit, Barb likes to meet with you approximately 6 to 9 months prior to your wedding date to confirm your wedding day time guidelines, decor selections, wedding cake style and flavours as well as discuss your bar details and your menu selections.

Meeting #3: The third meeting is typically 3 to 6 months prior to your wedding date and is the most intense planning meeting as you will plan 40 to 50 of your wedding proofs and also select the style and particular song selections for your wedding night. At this meeting you will also design a seating plan and discuss any outstanding details.

Meeting #4: This is usually the last official planning meeting and takes place 1 to 2 days prior to your wedding. At this meeting you bring in all of the ‘extra’ wedding items that you would like to have displayed at your wedding reception. For example your seating plan, guest favours, guest book and pen and family photos are typical items that are brought in for this meeting.

Meeting #5: Approximately 2 to 3 weeks after your wedding day, Barb will contact you to come in for one final meeting where she will present to you your wedding proofs and enjoy one last visit!
